Host an event

Any indoor or outdoor event that takes place on property owned or operated by the Municipality of Kincardine, the Municipality requires some paper work to be completed in order to approve the request.  Ideally, we request a minimum of 45 days prior to the date of the event to review the information by the applicable departments for necessary approvals and availability. 

Step 1 – Facility request

Make sure the park or facility is available and booked for your event prior to completing a special events application form. This includes Municipal owned properties such as:  

  • Facilities
    • Davidson Centre
    • Armow Hall
    • Bruce Township Community Centre (Underwood)
  • Room rentals including Kincardine Banquet Hall, Old Seniors Room, Meeting Room, Millar Insurance, Bruce Telecom, Gym
  • Sport fields
    • Ice, Ball diamonds, soccer fields
  • Parks/Open Spaces
  • Waterfront areas and/or beaches

If you would like to book your event at any of these facilities complete facilities request form.  

Step 2 – Special events application

When does a special event application need to be completed?  If your event is held on Municipal property and includes any of the following below you need to complete an additional special events form.

  • Street / Road allowance closures
  • Municipal Parking Lots closure 
  • Alcohol sale or service to the general public
  • Pyrotechnics or Fireworks
  • Animal show or demonstration 
  • Food that will be sold or given to the general public
  • Sound amplification - including amplified live or recorded music
  • Open Fire/flame-producing devices or appliances
  • Tents (>60 m²) that possibly could require Building Permits/Fire Safety Plan
  • Stages (>225 m²) that possibly could require Building Permits/Fire Safety Plan
  • Public event that features amusement rides or inflatables
  • Projected attendance of over 350 people per day


b) The event is taking place on private property and has a significant impact on municipal services. The municipality may request you complete an application if your event significantly effects municipal services. Affected services can include but are not limited to, Fire Services, Police Services, Public Works, Emergency Services.


c) You are hosting an event indoors at a municipal facility and it has been requested by City staff that organizers complete a Special Events Application.

You do NOT need to complete a Municipal Event Application if:

d.) You are holding an event on private property for invited guests only (i.e. wedding, birthday party, organization or family picnic) or you are holding an event on private property (i.e. your backyard) which will not significantly impact municipal services.

It is strongly advised that event organizers review the Municipality of Kincardine Special Events Planning Guide and policy prior to submitting their Municipal Special Events Application.

Food vendors

If you are a food vendor, hot dog cart or other type of refreshment vehicle, you must follow the requirements in the Refreshment Vehicle By-law. You must receive written permission from the special event organizers to sell within their event. You do not require a municipal refreshment vehicle licence if you are only at a special event. You will however need to complete the required application.
